PROBLEM

Hiring managers efforts to maintain a career site, track applicants and coordinate recruitment activities between departments is underestimated. In small companies hiring managers use excel sheets and emails which makes it hard to track job applicants and identify the right candidates for open positions.

COMPETITIVE ANALYSIS

I conducted market research which revealed that leading HR applications only serve larger companies. This created an opportunity to serve small to mid sized companies that use outdated methods to hire applicants. HR applications also lack integration with companies existing enterprise applications.
Since a lot of companies use the ServiceNow platform, this created an opportunity to build an ATS system on the ServiceNow platform for small and mid size businesses.

I learnt how the ServiceNow platform works by getting certified in the ServiceNow CSA admin course. This helped me understand the capabilities and constraints of the ServiceNow platform.
This also helped me identify features that could work for our application and negotiate with developers on what can be built.

PRODUCT FEATURES AND PRIORITIZATION

Based on market research and user needs I created a list of product features and prioritized them based on business and user requirements for MVP.

Application designed on the ServiceNow platform that streamlines the recruitment process for hiring managers, recruiters and job requesters.

Based on the user type, the application has different portals:


Applicant
Mobile-optimized portal provides a great applicant experience and automated notifications to keep the applicant up-to-date on their progress

Hiring manager
Intuitive dashboards provide managers with improved visibility into the hiring process and insights to plan hiring

Recruiter
Automated workflows, notifications, and reminders cut down HR time spent following up with hiring tasks

Employees
Employees get a simple and engaging experience while applying to internal job postings

The applicant, hiring manager, recruiter and employee flows are all interconnected.

INTERACTIVE PROTOTYPES

This was my first project as a UX designer. Being the sole designer on the team I had complete control over visual and interaction design.
I used AdobeXD for my interactive prototypes and to give developers design specs.

CoFigures ATS makes it easy to assign different levels of user authorization. Create portals for hiring managers, applicants, recruiters and employees. View task lists, integrate email with calendar and use people analytics to acquire talent.

SUMMARY

I was the sole designer for the INTalent application which was shipped with 50+ screens to serve 4 user types.
2 customers bought the application on the ServiceNow store.

Key takeaways:

Creating portals for different users: It was very interesting designing the same product from 4 different user perspectives.
Creating a complex userflow: Being the only designer on the team gave me full control of designing for a multi user, 50+ page application.
Product features and prioritization: Working with a smaller team I was responsible for market research, defining and prioritizing features for the product.
